Position Description:

An exciting position offering dynamic opportunities to learn and understand existing information technologies and those that are new to the marketplace.  As one of Nova’s Administrative Coordinators you will be:

  • A key member of proposal teams responding to existing and potential client IT-based RFPs
  • Tasked with supporting:
  • Sales account executives and managers submit tenders and quotes to their existing and potential clients
  • Service delivery staff generate and finalize client-facing reports and documents
  • Engineering and consulting staff finalize project documentation using documentation standards
  • The Senior VP Services and CIO with virtual and physical filing, client presentations and generating monthly service delivery metrics and statistics
  • Office administration staff during peak period

Candidate Requirements:

  • 5 years’ experience working in the IT sales and support marketplace
  • 3 years’ experience supporting sales teams with tenders, quotes and proposal development and electronic submission; as well as general office administrative tasks (digital and physical filing, document shredding, reception, ….)
  • 3 years’ experience work with resource résumés and client resource call-ups
  • 2 years’ experience generating client facing reports and documents
  • Experience drafting proposal responses to formal requests for proposals (RFPs)
  • Demonstrated ability to multi-task (with minimal supervision) in an environment where work product, with conflicting deadlines, must been professionally completed and delivered on time
  • Demonstrated ability to managed internal client (sales team, managed services team, engineering and consulting teams) expectations
  • Demonstrated ability to assign tasks to internal project members and coordinate their delivery of completed tasks on time, based on a published or agreed upon schedule
  • Demonstrated ability to leverage latest Microsoft Office suite applications and Windows 10 operating system

Nice to Haves:

  • Keen interest in the application of information technology to meet business operation needs
  • Fluency in French and English (reading, writing and spoken word). Note: the language predominantly used Nova’s office is English
  • Willingness to “pitch in” and do what’s necessary to meet client expectations, regardless of task or deadline
